Job Summary: The Executive Assistant II in Finance provides administrative support to the Senior Vice President, Chief Financial Officer & Strategy Officer including, but not limited to, correspondence, scheduling, reports, supplies and expenses. This position also covers specific duties for the Controller, Treasurer and the Corporate Tax Officer. This position is also responsible for preparing and maintaining the annual Strategic Plans as well as scheduling, planning and preparing materials for the Strategic Planning sessions and the individual Business Line Strategic Plans presentations. Primary Functions and/or Responsibilities: * Prepare correspondence both for internal individuals and external individuals either from verbal instruction, written dictation or electronic means with a high level of confidentiality, timeliness and accuracy * Calendar and schedules: make arrangements for meetings, assist with maintaining calendars, and make reservations * Schedule space, prepare packets, and participate in the Finance management team meetings * Create and maintain various reports and matrices for the CFO including Excel spreadsheets, charts and graphs; Word tables and reports, PowerPoint presentations; SharePoint and Adobe Pro * Strategic Planning: schedule, plan and prepare materials for the winter and summer Strategic Planning Sessions. Prepare the annual Strategic Plan with guidance from the CFO * Schedule, plan and prepare materials for the individual Business Line Strategic Plan presentations event as well as maintain their plans and presentations * Provide all clerical duties required by CFO that may include, but not limited to, copying, faxing, filing, mailing, ordering supplies, preparing invoices, creating and maintaining CFO's contacts, maintaining subscriptions, memberships and licenses, creating and delivering all expense reports, etc. * Provide clerical assistance, as needed, for the direct reports of the CFO that may include, but not limited to, scheduling meetings, mailing, ordering supplies, etc. * Coordinate travel plans and reservations for the CFO and any employee needing assistance (this position will have the ability to make airline reservations for anyone at the bank) * Assist the asset/liability team with various tasks related to the management of the investment portfolio (i.e., downloading and distributing purchase confirmations and downloading the monthly investment reports. Assist with the preparation of the ALCO meeting materials. Update various informational reports * Assist in organizing exams and check in PBC items, and upload the examiners after reviewed * Check in GL and DDA reconciliations, verify information and communicate with preparers. Complete some tracking reconciliations (limited GL activity), such as reconciling the ITA travel card and prep for posting to the general ledger (GL) * Other duties as assigned Education and/or Experience: * One to three years administrative experience * Two-year business degree and/or combination of executive-level administrative experience plus education Specific Skills, Knowledge & Abilities: * Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) * Strong attention to detail * Analytical and problem solving skills * Excellent communication skills (written and/or oral) * Ability to multi-task * Strong organizational and planning skills * Ability to work independently and use independent judgment AFFIRMATIVE ACTION/EQUAL OPPORTUNITY EMPLOYER "PROTECTED VETERANS" AND "INDIVIDUAL WITH DISABILITY"
