SUMMARY
The Work Comp Admin Assistant (WCA) performs a wide variety of
administrative functions and public services by assisting all work
comp coordinators and clients as directed. The WCA will interact
with patients, employers, insurance adjusters, case management
nurses, internal/external physicians, and internal/external medical
staff. The goal is to provide complete support and exceptional
service to our clients and patients by coordinating the
administrative requirements within each department at Iowa Ortho
and consistently cultivating and maintaining the relationships that
contributes to patient growth.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assists all Work Comp Coordinators with their day to day tasks as
needed
Operate our Polycom phone system to answer all incoming calls and
make outbound calls
Answer phone calls, screen and route outside calls to correct
extension.
Works closely with Work Comp online Portal to ensure client
satisfaction and department growth.
Schedule workers' compensation appointments
Verify and register all new work comp patients while obtaining all
necessary patient and billing information
Reschedule recheck appointments requested by assigned coordinator
and notify coordinator once scheduled.
Index voicemail logs and route voicemails to the appropriate
coordinator
Monitor the fax line(s) and route faxes to the correct coordinator
or department
Assist with the investigation and follow-up on all incoming phone
calls for workers' compensation patients. Make all appropriate
documentation in the patient chart.
Update and modify contact information to ensure accuracy for the
billing and other internal departments
Document phone calls and appropriate items in Next Gen case
management system
Forward medical records when requested to case managers, employers
and adjusters
Work with Client Services Coordinators in preparing IMEs.
Provide exceptional customer service to patients, employers and
insurance companies calling on accounts
Exhibit complete professionalism in all duties performed as a
coordinator
Communicate with physicians and staff as necessary, to provide
concise information and process completion
Assist nurse case managers and insurance adjusters in coordinating
patient care
Maintain OPT worklists, transferring OPT tasks to the WC worklist
for the coordinators
Assist with Outpatient testing (OPT) tasks and scheduling both
in-house and outside MRI, CT, and EMG.
Complete all work log tasking within the required parameters
Provide assistance to the billing department, as needed, to collect
over due claims payment
All other duties as assigned
EDUCATION AND EXPERIENCE
Bachelor's Degree in business, social services or medical related
field required
Combination Education and Experience may be considered
Previous experience in a workers' compensation setting
preferred
One year of experience in a healthcare related field, medical
terminology, or insurance billing required
KNOWLEDGE, SKILLS, AND ABILITIES
Excellent communication skills (both written and verbal)
Basic computer skills; Microsoft Office Suite (Excel, outlook,
word, etc)
Ability to use appropriate English language skills, spelling,
grammar, punctuation, etc
Able to handle high pressure situations with calm, resourcefulness
and effectiveness
Demonstrated ability or experience of displaying a positive
attitude and outlook
Ability to exemplify dependability to clients, staff and
patients
PHYSICAL DEMANDS

Ability to speak clearly and hear the English language in order to
communicate with patients, employers, case management nurses,
physicians, and internal staff regarding approval, insurance
denials, treatment plans, and patient status reports without the
use of translation.
Ability to walk over 200 feet multiple times throughout the day
The ability to hear and receive instructions from physicians
regarding the treatment plan, and patient status reports and to
communicate this information to the various appropriate workers'
compensation individuals
Use of hands, fingers, and sense of feeling in order to keyboard at
a computer terminal
Ability to sit up to eight hours at a computer terminal
Visual abilities in order to work at a computer terminal
