The role requires independent judgment to prioritize daily demands and inquiries from both internal and external sources. The Secretary 2 primarily manages a large volume of incoming/outgoing mail (paper and electronic) for proper distribution and follow-up, greets and screen callers and visitors to the Director's Office. The Secretary 2 exercises appropriate discretion when handling sensitive or confidential materials, and will accurately process personnel documentation inclusive of biweekly payroll. This position tracks and reviews all requests for the Director's signature, including formal Department responses, contracts, and other Department articles, for proper documentation, grammar and formatting, adherence to the Department's style guide, and has Division Administrator's review and approval. The Secretary 2 arranges and prepares information for Council meetings including agendas, taking minutes, announcements, and arranging conference rooms. Obtains and distributes information timely as requested by Council members. Prepares correspondence as requested by Chair of Council. Position requires a minimum of two years' experience and preference will be given to those candidates who have worked in a multi-faceted organization. Successful candidates will be proficient grammar and the Microsoft Office Suites inclusive of Excel, SharePoint. Minimum Qualification Requirements Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties; OR post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis; OR completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience; OR certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience; OR employees withcurrentcontinuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
