What We Are Looking For?We are looking for a detail-oriented, accountable, and passionate Payroll Coordinator to join our Corporate Office team! To be successful in this role the right candidate will have strong teamwork and analytical skills and the motivation to process payroll timely for our staff. Being highly organized, confidential, and able to work independently is critical in this position.

What Would You Be Doing?The Payroll Coordinator carries out responsibilities in the following areas: bi-weekly payroll for the Agency, coordination of all payroll functions, maintenance of payroll records and files, check management, data management, subject matter expert for payroll questions, and verbal and written communications.
Key responsibilities include, but are not limited to:

  • Full cycle bi-weekly payroll processing.
  • Identify errors and submit needed changes to supervisors for corrections.
  • Accurately calculate and complete entry for additional compensation such as incentives, adjustments, etc.
  • Process voluntary and involuntary deductions such as federal and state tax levies, child support, garnishments as regulated by federal and state law, etc.
  • Research, investigate and resolve problems, corrections, and questions relative to payroll.
  • Perform routine data integrity checks on payroll data as required.
  • Assist in preparing payroll related reports and metrics.
  • Capture and manage vendor invoices, vendor setup paperwork and management, and other account payable related documents in accounting software.
  • Process manual payment requests for taxes, expense reports and other special payments.
  • Post accounts payable invoices in the general ledger system, reviewing for proper coding and approval as well as duplicate payment and statements.
  • Batch update invoices to correct month of expenditures.
  • Pay vendors timely and reconcile vendor statements monthly and communicate with vendors and management outstanding items as needed.
  • Issue 1099's.
  • Process and administer year end payroll reconciliations.
  • W-2 processing.
  • Manage time off requests and maintain PTO balance spreadsheets.
  • Coordinate with the billing and HR departments to ensure processes and procedures are followed appropriately.
  • Enhance and/or develop, implement, and enforce policies and procedures of the organization by way of systems that will improve the overall operation and effectiveness of the corporation.
  • Support the Agency's efforts in implementing and maintaining internal controls for all accounting functions.
  • Provide ancillary accounting support to the Senior Staff Accountant (i.e., analyze and reconcile general ledger accounts, record, and analyze revenue, identify, and investigate variances to budget, code and enter GL transactions, etc.).

    What's Required?
    • 2-year Associates degree required.
    • 4-year Bachelor's degree preferred.
    • Minimum of 2 years prior payroll experience required.
    • Experience with financial operations systems such as accounts receivable, payroll or general ledger.
    • Possess the ability to navigate through payroll software systems with ease.
    • Valid driver's license and proof of financial liability auto insurance coverage.
    • CPR certification.
    • Ability to travel, including overnights, for trainings, meetings, events, etc.
    • Ability to use technology that is necessary to perform job responsibilities and use available technology efficiently and effectively (i.e., voice mail, Microsoft Office Suite applications, computer, electronic databases, custom software, etc.).

      • Advanced computer skills required, including MS Office products, and proficiency in Microsoft Excel.
      • Must have strong attention to detail.
      • Ability to occasionally lift, carry, push, pull up to approximately 25-pounds.
